HokieMart Overview
The HokieMart is an on-line marketplace. The HokieMart is also the Virginia Tech brand for software licensed from SciQuest, Inc, that electronically controls document processing. This software is integrated into our Banner Financial system. The HokieMart provides a structure for the processing of all purchasing requirements.
Workflow. The HokieMart has been structured to electronically route deliver information. The process starts with the creation of a requisition by a Requestor.
Banner funds checking occurs once the requisition is completed. If the account being sited on the requisition has sufficient funds, the requisition is routed to an Approver. The Approver can modify the requisition or approve it. Once approved, if the Requisition is valued less than $2,000, the system converts it to a purchase order and delivers it to the supplier. If the requisition is valued over $2,000, or requires additional approvals, it is electronically routed to the next step in the process.
- A benefit of the HokieMart is that you can see where your requisition is and has been in the process.
When all necessary approvals/actions are completed, the requisition is converted into a purchase order and delivered to the supplier for action. All of the data on the purchase and a funds encumbrance is transmitted to Banner records. Virginia Tech also delivers an informational copy of the purchase order to the state’s eVA system by data interface.
- A benefit of the HokieMart is that all purchase information is sent to and stored in Banner financial records.
All suppliers can be located in the HokieMart via the search capability. Selected contract suppliers have punchout catalogs posted in the HokieMart that allow for on-line selection of items and completion of a “shopping cart”. All prices displayed in the punchout catalogs are contract prices and shipping is included by most suppliers.
- A benefit of the HokieMart is the ability to rapidly select and order items that are used repetitively.
There are some university service activities that can be accessed through the HokieMart. An example is the copy centers. These internal suppliers are selected and requisitions may be sent to them in a similar manner to the process used for commercial suppliers. It is an objective of the university to have all internal suppliers resident in the HokieMart within the next few years.
Detailed classroom training and on-line user guides are available to assist new employees to learn how to operate successfully in the HokieMart.
